The United Nations World Food Programme is looking for the services of Programme Associate with competences listed below:

TITLE: Air Movement Assistant

CATEGORY: General Service 

GRADE: sc5

CONTRACT TYPE: Service Contract

CONTRACT DURATION: 3 months (renewable)

DUTY STATION: Yaoundé

Accountabilities: 

Under the direct supervision of the Programme Policy Officer and the overall supervision of the Deputy Country Director, the incumbent will be responsible for the following duties and responsibilities:

Booking management

  • Receive all bookings from eligible agencies (UN, NGO, Donors and Diplomatic Missions), prepare and submit a provisional manifest to the ATO/AMO at least 24hours in advance to the intended date of the flight for the compilation of pre-flight manifest,
  • Coordinate with focal point of user organizations to receive flight reservations, updated staff lists and focal point assignment forms.
  • Maintain an updated list of UNHAS Users.
  • Coordinate with the Air Movement Cell (AMO/AMA) to provide booking information to User organizations.
  • Immediately notify ATO/AMO of all irregularities observed in passenger reservations, unauthorized organizations, passengers, cargo etc. 
  • Convey and deliver operational documents between the aircraft and appropriate air terminal authorities to the air transport/air movement cell.
  • Issue flight Manifests for all the UNHAS flights to different destinations.
  • Provide flight information, flight confirmation, via e-mail / phone to the concerned agencies.
  • Communicate with the agencies regarding the UNHAS procedures and update them accordingly on new procedures.
  • Distribute the UNHAS tickets one day before the flight to the passengers and confirm the flight reporting and departure time.

Customer Service

  • Contribute to the establishment and monitoring of UNHAS Customer Service Standards and service projects.
  • Participate in the planning, programming, implementing and promoting the use of UNHAS customer Service Standard procedures, practices, appropriate tools and documentation within the organization, through the establishment of those Standards, coordinating with chief Air Transport Officer on standards.
  • Conduct Customer Service Survey’s, analyzing surveys and initiate appropriate actions according to findings of the analyses.

Information Management

  • Prepare monthly, quarterly and yearly reports for UNHAS operations.
  • Maintain statistics and records pertaining to the utilization of transportation resources in accordance with instructions provided by the CATO.
  • Coordinate the development and update of the UNHAS information and communication products and library.
  • Produce information brief and power point presentations relevant to the operation and performance of the UNHAS operations.
  • Carry out any other duties as directed by ATO/CATO.

Education: Completion of secondary school education and Post-secondary certificate/formal training in Booking management, airline Customer Service or Information management & communication. A First level university degree or diploma in Air Transportation Management, Flight Operation Management or aviation related field will be an asset.

Experience: At least 4 years of experience in the area of aviation, airline customer service or information management of which at least 1 year in the United Nations System, Experience in use of commercial Aviation software/tools for ground activities as reservations, customer service and departure/arrival related activities is an advantage.

Knowledge & Skills: Good computer knowledge and skills (email, Word, excel, Power Point) required. Excellent drafting ability and communication skills, both oral and written; ability to communicate complex concepts orally; ability to prepare written  reports that are clear, concise and meaningful. Good in a multicultural team environment, with high level of teamwork, good sense of initiative and ability to plan and follow procedures. Ability to handle a large volume of work quickly and accurately under time constraints. General knowledge of UN system travel policies, rules, regulations and procedures in the area of work.

Language: Fluent in both French (Level C) and English (Level B) 

Other desire skills: Excellent working knowledge of Microsoft software applications, particularly MS-Office( Word, Excel, Access, Power point, etc…) as well as most popular Statistical Packages.
