Type of contract : FT Appointment

Title: Senior Logistics Assistant

Level: GS7

Duration : One year renewable

As per UNICEF rules and regulations

PURPOSE OF POST:

Under the Technical supervision of the Logistics officer NOB prepares requests for transport/distributions, manage the regional warehouse, obtains quotations from local vendors, monitors status of local shipments/ distributions and maintains the filing of the logistics unit.

REPORTS TO: Chief Field Office

KEY ACCOUNTABILITIES and DUTIES & TASKS

  1. Checks all invoices for logistics services against service requests made from the logistics office. Verifies, summarizes and submits invoice package to the logistics officer for certification.
  2. Submits payment requests for logistics services. Allocates various costs to the requesting programmes. Requests funds from programme budgets to enable payment.
  3. Monitors the status of incoming offshore supplies by use of track and trace systems, status monitoring and correspondence with Supply Division.
  4. Liaison with counterpart in order to organize reception of goods. If goods are not going directly to counterpart, the assistant will organize safe reception in UNICEF Warehouse.
  5. Supervises the day to day activities of the UNICEF-appointed service providers. Ensures that all documentation necessary for transportation is provided to the service provider.
  6. Monitors and summarizes all expenditure and provides activity report to the logistics officer.
  7. Processes logistics requests from programme and ensures follow-up action completed.
  8. Executes additional administration tasks at the request of the logistics officer.
  9. Provides goods status reports to concerned programmes and to the logistics unit at national level.

QUALIFICATIONS AND COMPETENCIES:

Education:

  • First university degree or equivalent (BTS / DUT) in, economics or law or logistics, supplemented by courses in technical or Supply, logistics or related field.

Work Experience:

  • Minimum 5 years of work experience, in procurement, logistics or other administrative function in a commercial working environment.
  • Experience with computer databases, for the maintenance of procurement records.
