Context and justification
ACMS (Association Camerounaise pour le Marketing Social) is recruiting a Bilingual Executive Assistant within its Executive Direction.
The successful candidate will principally be charged with guaranteeing the proper functioning of the Office of the Executive Director.
ACMS is affiliated to the Population Services International (PSI) network. PSI is a world-class organization involved in the health sector and whose programs mainly target malaria, child survival, HIV and Reproductive Health.
Duty Station: Yaoundé
Type of employment contract: Two-year renewable fixed term contract with prospects of an open ended contract
Start date: July 2014
Position level: Category 9, grade C of the II tertiary sector of the National Collective Trade Agreement
Job description
Under the supervision of the Executive Director, the Bilingual Executive Assistant shall:
- Organize and manage activities within the Office of the Executive Director
- Organize and manage the daily schedules of the Executive Director
- Identify and develop innovative tools to organize and manage the activities of the Executive Direction with better efficiency, while ensuring that confidentiality, availability and fluency is maintained in the course of passing across information.
- Guarantee the channelling of incoming/outgoing mails and their archiving
- Ensure the proper management of flights and coordinate with the safety and security, as weel as the logistics official, for the transportation of foreign collaborators to the airport
- Take charge of all logistics preparations during meetings with partners and ensure that conference halls are adequately used.
- Monitor the Registration of trademarks of the Western and Central African/PSI regions and ensure their renewal in coordination with the appropriate institutions
- Act as a liaison between the different strata of the management system and with partner institutions at different levels
- Provide reporting (task forces, meetings with employee representatives, MPP, WPM)
- Manage, coach & motivate and direct the various teams of the Executive Committee
- Ensure knowledge management of the teams of the Executive Committee
- Perform any other tasks assigned to himlher by the hierarchy.
Required qualifications and professional experience
- Must be of Cameroonian nationality;
- Be at least 28 years old;
- Must hold a BTS (Diploma) in Secretariat Management or any related field.
- Sorne University studies (BACC+2 or BACC + 3) in the following areas: Business Management, Administration/Office Management will be of added advantage.
- Have a practical and scalable professional experience of at least (05) years in a similar position in a project management institution recognized over the national territory, an NGO/International Organisation or a huge enterprise;
- Have good communication and organizational skills;
- Have strong analytical skills and keen when dealing with data;
- Be able to work under extreme pressure and tight deadlines in a multicultural setting;
- Be able to quickly and effectively manage internal and external demands;
- Have a perfect mastery of daily information processing software (Word, Excel, Power Point);
- Have an excellent command of French and English;
