Plan International Cameroon is currently advertising for the position of 01 Encoder Service Provider based in Garoua.
This is a local position.
Dimensions of the Role
An Encoder is one of the key pivots of Sponsorship department. The incumbent, a Service provider ensure the quality control of all documents exchanged between Sponsored Children and their Sponsor and also ensures their faithful encoding into Plan International’s coporate softwares.
Thanks to this, he or she greatly contributes to the achievement of Sponsor’s expectation (both in quality and with agreed deadlines) in line with the Sponsorship Commitments 5 to 10.
Role and responsibilities of Service providers
Encoders
A-Processing of SCU/SCI and Photo
- Save photos in a named file
- Quality control of SCI update/SCU questionnaire
- Quality control of photos
- Encoding of photos in CDPET
- Upload of encoded photos in Child Data (CD).
- Encoding of SCU/SCI information from questionnaire in CD
B-Processing of new SCIs
- Save photos on a named file
- Quality control of SCI questionnaire
- Quality control of photos
- Submission of SCI information /profile
- Attribute new SC number on questionnaire
- Generate CD pet extract
- Encoding of photos in CDPET
- Upload of encoded photos in CD.
- Encoding of SCI information from questionnaire in CD
C. Processing of CMSC /GMSCs
- Mail merge
- Edit/proofread C/GMSC narrative and FWL/DFWL
- Upload C/GMSC and FWL/DFWL into CD
D. Tracking of incoming and outgoing
- Sorting of incoming letters and small gifts per PUs. Prepare incoming letters for translation.
- Sorting of translated letters and small gifts after tracking and package per PU, dispatch to the different PUs
- Sorting of all processed SCI/SCU questionnaires after encoding and dispatch to various PU
- Filing of all photocopied copies of outgoing letters to NOs in their respective chronos Per PUs
E-Outgoing Communications to NOs
- Received all outgoing communications from the PUs and do control with the use of mail delivery slip to ensure that all communications mentioned on the slip.
- Ensure all processed communications are prepared by sorting per NOs, prepare AWB#s for dispatch to NOs once a month
- Ensure all communications (C/GMSC), and SCU/SCI questionnaire are prepared and dispatched to the PUs after processing.

- Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.
Technical expertise, skills and knowledge
Essential
Qualification and Experience
- GCE A/Level, BAC or its equivalence.
- Knowledge on Plan International is an added advantage.
- With at least 1 year of experience in Social Work or community development.
- Be able to speak French. Ability to speak the local language of the assigned zone will also be an added advantage.
- Has experience in working with children (boys and girls)
- Excellent written and verbal communication skills.
- Resident in Garoua

Physical Environment
This position entails 70% travelling time within Plan offices and communities in the Program Units with 30% of the time on office related activities.
