Plan Cameroon is looking for a suitable candidate for the position Grants Coordinator at the Country Office.the contract is for one year renewable. It will be governed by Cameroon Labour Law.
Purpose of the role
Plan Grants Acquisition globally further encourages the motive to make Grants as core business of Plan countries. Plan global ambition is to increase and move away from sponsorship funding thereby ensuring grants to be the key business for all Plan implementing countries. To achieve this, WARO intends to create a minimum common Grants supporting structure in WARO countries that could feed into review of CO structures in line with the new Global Strategy.The whole question of the structure in grants positioning comes in only when we foresee a future where grants becomme core business. if grants bring in 80% of the country budget, the we may really require a full-fledged/dedicated staffing structure for grants.This will also guarantee the basic standard of human resources in terms of establishing an enabling grants environment that assures strategic development of Resources Acquisition and Management; Donor Relationship, Partnerships and Risk management at both marketing and Project delivery levels.
Main responsibilities-Key End Results of the Position:
1.Reporting
- Collect data & gather information to support quality and timely reporting commitments and requirement for both narrative and financial reports as appropriate.
- Provide support to ensure that all project reporting and documentation requirements are met (quality and timeliness); with particular attention to ensuring that narrative and financial reports are prepared and submitted in accordance with the agreement with the donor
- Give support in the preparation of case studies including high resolution quality photos and other documentation relevant for grant reporting
- Responsible to update and circulate reporting deadlines and maintain report tracking matrix, proactively remind reports stakeholders of upcoming deadlines and report any delays to GSM immediately.
- Contribute to the preparation of monthly and quartely Grant department reports and submits to GSM for review
- Compile material required for grants related audits
- Provide a monthly status of grant funded projects
- Prepare and submit field visit reports for all missions to the field to monitor ongoing grants projects.
2. Grants management:
- Assist GMS with Grants Agreement Documents(GAPs) as necessary and support with the dissemination and entry of signed GADs including updating databases for the Grants Tracking System Program Project Module(PPM) and General Ledger(GL)
- Conduct monitoring and support visits to grant projects as needed to support reporting and resolve grant managemnt issues (eg, compliance with donor requirements) and advise GSM & PSMs immediately of any potential issues on non compliance on the part of Plan or partners
- Responsible to update, maintain and disseminate GAP/grant files and filling systems (both electronically and hard copies). Provide support to Program Units as needed to ensure necessary and relevant grant documents are available at Program Units.
- Give support to grant start-up processes including participation in grant start-up workshops, budget preparation and mapping, grants proposal development including project outline development
- Act as resource point person about grant compliance issues related to donor requirements
- Assist GSM as needed to identify and resolve Grant/GAD issues and to ensure GADs are financially managed
- Monitor closely the project logical frameworks and the overall progress in the realization and the overall progress inthe realization of the outcomes of each of the grant funded projects to ensure effective contribution to the development of more detailed learning system
- Support GSM in designing and delivering content for grants training
3. Fundraising support
- Support in researching fundraising opportunities in reviewing and summarizing funding requirements from differents donors in collaboration with the program technical team
- Assist within country public relations programs or needs in collaboration with media and program technical team
- Support and work with program staff inthe preparation and/or review of the new proposals.
- Maintain an up to date list and contacts of potential donor(Donor Mapping)
Knowledge, Skills and Behaviours Required to achieve Role's objectives:
Qualifications and Experience
- Degree in social sciences or equivalent
- 3 years of working experience, preferably with an NGO
- Experience of grants proposal development and compliance requirements for more than one development aid donor
- Good writing skills
- Good people skills
- Computer literacy
- Bilingual (French and English)
- Good Working relationship
- Srong team performance
Knowledge
- Excellent understanding of management of big donor grants
- Ecellent understanding of financial tracking and project cost control processes
- Good understanding of EU, EC and DFID procedures and requirements in securing grants funding
- Good understanding of project logical framework and monitoring and evaluation systems
- Excellent understanding of developmental issues in Cameroon and globally
- Good understanding of fund raising opportunities and mapping out strategies to secure donor grants
- Innovate, practical and field oriented for the implementation of grants projects
- Basic knowledge in budget preparations and management
Skills
- Excellent written and verbal communication skills
- Computer proficiency in the use of information technology especially Word, Excel, PowerPoint and Internet
- Ability to prioritize/handles large volume of work and meet deadlines
- Ability to work under pressure
- Ability to properly document and proficiency in filling documents
- Knowledge for main donors key requirements

the post holder will work in a working environment that will requires best practice for present day office environment and 40% of internal field work and abroad tha will fully enhanced and capacitate efficient and effective working environment for both the incombent and the grant team.
